Is this permitted? What is the penalty and how is it calculated? What is the procedure for clicking the retreat/surrender button?

When you can clearly see that it is time to leave the battle, should you just keep fighting till the last man? Are these last ditch efforts?
Yes, you are allowed to surrender. There is no penalty for doing this. A player losing a match, but scoring 50% or more can get a losing bonus point, so surrendering early is not always a good idea.
So, if one decides to surrender, do you take a screenshot of the battlefield and scores before clicking surrender, and then click surrender? What do we do if we wish to surrender but play out the battle out of curiosity? (Not a man will be left alive on my side if I don't surrender, I fear. However, I would like to let my opponent have the satisfaction too and see how well he can execute.)

No screenshots are necessary. Just hit the surrender button and post "I surrender, well played" in the chat box. That's all I need to say really. If you still have curiosity about a tournament game then don't surrender it.

There is a vacancy in Early Middle Ages Division C. I can hold it open for you until the end of tomorrow, Monday June 10th. If I wake up Tuesday morning and you still have not claimed the place, I will offer it to the next player on the list (batesmotel).
